Refund & Cancellation Policy

This policy explains how cancellations and refunds may be handled for VexoOne course access and cohort delivery, depending on the scope and delivery status.

Effective date: February 15, 2026
Operator: VexoOne Learning K.K. (Japan)

1) Definitions

Course access: access to learning materials, exercises, and course pages provided for a defined period or cohort window.

Digital materials: templates, checklists, assignments, and other materials provided electronically.

Start date: the date access is granted or delivery begins (whichever is earlier).

2) General principles

Refund handling depends on (a) the course type, (b) whether access has started, and (c) what materials or sessions have been delivered.

If a separate written scope or enrollment confirmation exists, it may add details for that engagement.

3) Before the start date

If you cancel before access begins, a refund may be considered depending on preparation already completed and any non-recoverable processing costs (if applicable).

To assess eligibility, we may ask for enrollment reference details (name, email used, and program name).

4) After the start date

Once access begins, materials may have been delivered and capacity allocated. Refunds may be limited. In some cases, partial refunds may be considered for clearly unused portions where feasible.

  • If a cohort schedule is defined, requests may be evaluated based on the current point in the schedule.
  • If digital materials have been delivered, refund eligibility may be reduced for delivered portions.

Requests are evaluated using documented scope and delivery status.

5) Digital materials

Digital materials may be non-returnable once delivered. If a refund is considered, it will account for delivered materials and time already allocated.

If access is granted to materials and they have been used, refunds may be limited.

6) Exceptions

Refunds are generally not available for:

  • Completed or substantially delivered access and materials.
  • Work that cannot be “undone” due to delivered documentation and assignments.
  • Issues caused by missing prerequisites, low participation, or constraints outside the course scope.

Nothing in this policy limits rights you may have under mandatory consumer protection laws.

7) How to request a refund or cancellation

Email [email protected] and include:

  • Your name and the email address used for enrollment.
  • Program name and (if known) start date.
  • Reason for the request (brief).

We may request minimal verification details to protect both parties.

8) Handling timeline

We review requests within a reasonable period after receiving necessary information. If a refund is approved, processing time depends on the original method used.
